Which certification do you actually need for an overseas document?

Start with the receiving authority’s written requirements, not a choice of stamp. For a certified copy, bring the original for comparison. For signature witnessing, ask the attorney how to sign before completing the form. Translation, notarisation and legalisation are separate services; not every document needs all three. Tell us the destination, intended use and deadline so we can assess the document, explain the scope and confirm a quote and appointment before work begins.

Documents to prepare

  • The complete original and readable copies, including relevant reverse sides, attachments and continuation pages.
  • The signatory’s valid passport or Thai national ID; bring the original identification requested for the appointment.
  • The receiving authority’s form and written instructions, destination country, submission purpose and deadline.
  • For a company: registration documents and evidence of signing authority, including resolutions or delegated authority where relevant; check whether a company seal is required.
  • Any required translation or certificate wording, with English names matching the passport and supporting name-change evidence if needed.

From review to collection

    Identify the recipient and purpose

    Provide the authority’s name, country and written checklist. A bank account opening, property transaction and university application may all require different evidence even when the document is called a certified copy.

    Check the certification scope

    We assess whether you need copy certification, signature witnessing, a declaration or verification of corporate authority. We identify translation, witness and legalisation requirements that need confirmation rather than assuming every overseas document follows one chain.

    Confirm the quote and appointment

    Confirm the number of signatories, pages and original sets, the meeting location and the output format. Ask for separate charges for drafting, translation, government fees or courier services and a realistic schedule after the document review.

    Present originals to the attorney

    The attorney checks identity, original documents and whether the requested act is appropriate. Where the act is signature witnessing, sign in the attorney’s presence as instructed. Do not pre-sign or pre-date a form without asking.

    Check the certificate and next steps

    Check names, document numbers, pages, dates and attachments before collection. Arrange any additional certification required by the recipient. A notarial seal alone is not a promise that a foreign authority will accept the document.

What to check before you pay

  • Copy certification is not always proof that the issuing authority genuinely issued the original. Signature certification does not establish the truth of every statement or validate every contractual term.
  • Spelling differences, missing pages and changes made after certification may lead the recipient to request a new set. Check the complete bundle before your appointment.
  • Scans are useful for preliminary assessment. Sending a photo or joining a video call does not by itself complete notarisation; confirm appearance and original-document requirements with the attorney.
  • Share only documents relevant to the task. Do not send passwords, payment-card information or unrelated personal records; ask about a suitable channel for sensitive documents.

Fees, timing and service boundaries

Fees depend on the act, pages, signatories, drafting and meeting location. Translation, government or embassy fees and delivery may be separate. Request an itemised quote and timeline after assessment. An urgent notary appointment does not imply that embassy processing or the entire legalisation chain can be completed the same day.

A practical example: a passport copy for university

Illustrative situation: a university asks an applicant for a certified passport copy. First confirm that it accepts a Thai attorney’s certification, which passport pages it needs, and whether it wants a scan or paper original. Bring the original passport for comparison. Do not order extra embassy authentication or translation merely because the application is overseas. This is an explanatory example, not a claimed client outcome or admission guarantee.

Questions before your appointment

Should I sign the document before the appointment?

If the requested act is signature witnessing, do not sign beforehand. Ask the attorney for instructions. If you have already signed, explain this during review; the attorney will assess whether another type of certification is appropriate or a fresh document is needed.

Can I send a scan instead of the original?

A scan helps with preliminary review. Certification that compares a copy with its original requires the original to be presented. Separately ask the recipient whether it accepts the finished certificate as a scan or requires a paper original.

Does a Thai Notary replace a destination-country Notary for every purpose?

No. A recipient may require a locally authorised notary, a particular professional qualification or a consular officer. Obtain written requirements before ordering certification in Thailand.

Is MFA and embassy legalisation always needed after notarisation?

No. Some recipients accept an attorney’s certificate directly, while others require additional translation or authentication. The correct steps depend on the document and recipient, not simply the fact that it will be used abroad.

What extra documents are needed for a corporate power of attorney?

Bring the signatory’s identification, company registration evidence and the authority relevant to the transaction, such as a board resolution. Check the recipient’s form, seal, witness and original-set requirements before the meeting.

Can the certificate be in English?

Tell us the required language and provide the recipient’s wording if available. We assess the certificate format before the appointment. An English certificate does not automatically remove translation or additional authentication requirements.

What if I am outside Bangkok or outside Thailand?

Contact us to assess the documents and available meeting arrangements. An act requiring the signatory’s appearance is not completed by courier alone. If you are abroad, check local notarial or consular options against the recipient’s requirements.

When can an urgent collection time be confirmed?

Tell us the deadline, bundle size and originals available. Timing can be confirmed after assessment and appointment availability checks. Government and embassy stages follow their own procedures; the whole process is not automatically a same-day service.
