FAQs about the translation process itself

Do I need to post the original document, or is a scan enough?

Most certified work runs from a clear scan, because the translator attests that the translation matches the document received — not that the original is genuine. You only need the physical original when the receiver also wants a certified true copy, which requires showing it to an authorised officer.

Can I photograph a document with my phone, and how should I shoot it?

Yes, if the whole sheet is sharp. Lay it on a flat dark surface, shoot square-on from above with even light, no hand shadow or glare, and keep all four paper edges in frame. Photograph the reverse too if it carries text. Skewed or dim shots force an 'illegible' note.

Can a faded, hard-to-read old document still be certified?

Yes, but genuinely unreadable parts must be marked illegible rather than guessed. If the faded part is critical — a date of birth or document number — the faster route is to request a fresh certified extract from the issuing district office and translate that instead.

Must the translation look exactly like the original?

Not pixel-for-pixel, but it must mirror the structure so a reader can compare. Tables stay tables, headings keep their position, and seals or signatures are described in brackets, e.g. [Seal: Mueang District Registration Office]. That lets an officer check line by line against the source.

How is a Thai official seal rendered in an English translation?

As a bracketed note stating the seal type, the body shown and any readable text, e.g. [Official seal: Bangkok Metropolitan Administration]. If the impression is unclear, write [Seal, partially illegible]. Never omit it — officers use seals as a completeness check.

What is a translator's note and when is one added?

A short bracketed remark the translator adds where a literal rendering would mislead — Thai land units, a spelling that differs from the passport, or unreadable text. It must be visibly separated so no one mistakes it for source content.

How are Buddhist-era dates converted in the translation?

The convention is to lead with the Gregorian year and keep the Buddhist year in brackets, e.g. 12 March 2025 (B.E. 2568). Subtracting 543 works for dates from 1 January 1941 onward; before that the Thai year began in April, so older documents need case-by-case checking.

Which romanisation is used for Thai names when the passport differs?

The passport always wins, because that is what the receiver uses to identify the person. We follow the passport spelling in the body and add a note giving the Royal Institute romanisation when it differs, so the whole set links to one individual.

How are Thai numerals and Thai-style addresses handled?

Thai numerals are converted to Arabic digits so overseas systems can read them. Addresses are re-ordered smallest to largest — house number, road, sub-district, district, province, postcode — keeping Tambon, Amphoe and Changwat where needed so the place stays traceable.

What is the correct English name for a Thai house registration?

Use House Registration (Thabian Baan) and state the form code, e.g. Tor Ror 14 for the householder's copy. Giving both the English name and the Thai form code lets the receiving officer match it against their own document list immediately.

How do a single-status certificate and a marriage certificate differ in translation?

A single-status certificate is issued by a district office to confirm no subsisting marriage registration; a marriage certificate (Kor Ror 3) evidences a completed marriage. Receivers treat their currency differently — single-status letters are usually required to be no more than 3–6 months old.

How are pages counted for pricing?

By source pages carrying content to translate, including printed reverses. NAATI work sits in the THB 1,300–2,500 per-document band approximately, depending on text density and table complexity. We confirm a single figure before starting, always.

What is the turnaround, and can it be expedited?

Standard is approximately 5–7 business days from receiving the complete files and price confirmation. Rush handling is case-by-case depending on queue and language pair, with the surcharge quoted upfront. We do not promise a deadline we cannot meet just to win the job.

Can errors found after delivery be corrected?

Which channels can I use to order?

Phone, email and LINE all work. Send the files together with the destination country, the receiving authority and your deadline — those three decide both the certification format and the queue. There is no shopping cart; every job is confirmed by quote first.

Why was my translation refused even though a certified translator did it?

The usual cause is not language quality but set completeness: a missing reverse page, no credential number on the declaration page, a source older than the receiver's window, or a certified true copy required alongside. Always get the refusal reason in writing before fixing anything.

Can I translate my own documents and have someone else certify them?

Generally not for immigration purposes: authorities require the translator to be a third party independent of the applicant, and a relative falls under the same bar. A certifier cannot retro-fit independence onto a translation the applicant produced.

Can Google Translate or an AI tool be used for visa documents?
